How Vencilla Medtex LLP handles personal data on the Vencilla Group website.
Updated on: 29 October 2026
1. Who we are
This website, https://vencilla.com, is operated by Vencilla Medtex LLP, a limited liability partnership registered in India with limited liability (LLPIN ACY-2022). Its registered office is at 434/3B, Somakanji Wadi, Khatodara, Surat, Gujarat 395002, India (“we”, “us”).
Vencilla Group is the public-facing brand under which we present our business. It is not a separate company.
Vencilla Medtex LLP carries out both of the businesses presented on this website:
- our textile operations, with a dedicated website at https://textiles.vencilla.com/;
- our pharmaceutical operations, with a dedicated website at https://pharma.vencilla.com/.
Vencilla Medtex LLP decides how the personal data described in this policy is used.
2. Scope
This policy covers personal data we handle when you:
- visit vencilla.com;
- submit a form on this website, such as Request Anything on our Contact page or our meeting request form;
- book a meeting through the online booking calendar on our Request a Meeting page;
- contact us by email, telephone or WhatsApp using the details on this website;
- interact with analytics or advertising technologies on this website, or with our advertising on other websites, once we use them (see section 14).
Our textile and pharmaceutical websites provide their own privacy information, which applies when you use them.
3. Personal data we collect
Website forms. When you submit Request Anything or the meeting request form we collect:
- your full name, company, business email address and country;
- your telephone number, if you choose to give it;
- the type of enquiry and the description of your requirement;
- the destination country or market, if you give it;
- for meeting requests, the meeting type and format, your preferred dates, time window and time zone;
- your marketing preferences, if you choose to give them, with the date and time you gave them;
- your confirmation that you have read the enquiry privacy notice.
Online meeting bookings. When you book a meeting through our booking calendar we collect your name, email address, telephone number (optional), company, country, the purpose of the meeting and the context you give, the date, time and time zone you choose, and the website you booked from. Zoho Bookings sends you confirmation, reminder, reschedule and cancellation emails about the booking. Your booking is also added to our team calendars (Zoho Calendar and Google Calendar), and a Google Meet video link is created for the meeting and sent to you in the booking emails.
We also record the date and time of submission, the page the form was sent from, and your browser and device type as reported by your browser. We do not record your IP address with the enquiry.
Email, telephone and WhatsApp. If you write to info@vencilla.com or support@vencilla.com, call us or message us on WhatsApp, we receive:
- your name and contact details;
- the content of your message and any attachments;
- anything else you choose to share.
WhatsApp is operated by WhatsApp (part of Meta) under its own terms and privacy policy, and it also processes the messages you send there. Please do not send sensitive personal information by WhatsApp.
Technical information. Our hosting provider’s servers record technical information when you visit the website, such as your IP address, browser type, the pages requested and the time of the request. This is standard for operating and securing a website.
Please do not send us sensitive personal information, such as health, financial or identity documents, unless we ask for it for a specific, explained purpose.
4. Why we use personal data
We use personal data to:
- read and respond to your enquiry, and pass it to our textile or pharmaceutical operations where it concerns them;
- discuss your requirements and, where appropriate, prepare quotations and continue business correspondence;
- keep a record of enquiries and correspondence so that we can deal with follow-up questions and manage our business;
- operate, secure and maintain the website;
- comply with legal obligations and establish, exercise or defend legal claims;
- send you business communications about our products and services, where you have agreed to receive them or applicable law otherwise permits it (see “Marketing communications” below);
- once we use them, and with your consent where it is required, measure and improve our website and our marketing through analytics and advertising technologies (see section 14).
Marketing communications. After an enquiry we may follow up with you about that enquiry and closely related business matters. We send other marketing communications, such as news about our products and services, only with your consent or where applicable law otherwise permits it. Every marketing email will tell you how to opt out, and you can opt out at any time by using that link or by emailing support@vencilla.com.
Selling and automated decisions. We do not sell the personal data you give us, such as your enquiry details. We do not use personal data for automated decision-making that has legal or similarly significant effects on you. If we use advertising technologies, advertising providers will receive information about your visit through them, as explained in section 14.
5. Basis for using personal data
- Website forms: we process the details you submit because you choose to send them and ask us to respond, and on the basis of the consent you give when you submit the form.
- Email or telephone: we process your details to answer you.
- Marketing communications: we rely on your consent, or on another basis where applicable law permits it.
- Marketing preferences: the optional boxes in our forms record your consent to occasional business updates. Leaving them unticked does not affect how we handle your request. If you opt in, we add you only to the update list you chose, and every email lets you unsubscribe.
- Analytics and advertising technologies: once we use them, we will rely on your consent where the law requires it, and we will not use non-essential cookies or similar technologies before that consent is given.
- Withdrawing consent: you can withdraw your consent at any time (see section 10). This does not affect processing that has already taken place, or processing we are required to carry out by law.
6. How enquiries and correspondence are stored
| Where | What | How long |
|---|---|---|
| Our website database (WordPress, hosted by Hostinger) | Form entries (requests and meeting requests) | Under our retention policy (section 8) |
| Our business mailboxes info@vencilla.com and support@vencilla.com (Hostinger Business Email) | Enquiry notification emails and correspondence | Under our retention policy (section 8) |
| Our website’s email log | A record of each email the website sends, including its content | Deleted automatically after 30 days |
| Website backups on our hosting | Copies of the website, including its database | Kept until they are replaced or deleted. A backup made before an enquiry is deleted may still contain it until that backup is removed |
| Hosting server logs | Technical request data | Kept by our hosting provider to operate and secure its service |
| Zoho CRM (our customer-relationship system, Zoho’s India data centre) | Enquiry and meeting details, notes and follow-up tasks | Under our retention policy (section 8) |
| Zoho Bookings (Zoho’s India data centre) | Meeting bookings and booking emails | Under our retention policy (section 8) |
| Zoho Calendar (Zoho’s India data centre) | Booked meetings in our team calendar | Under our retention policy (section 8) |
| Google Calendar and Google Meet (Google) | Booked meetings in our team calendar and the video-meeting link | Under our retention policy (section 8) |
| Zoho Campaigns (Zoho’s India data centre) | Contact details and subscription status of people who opted in to business updates | Until you unsubscribe or ask us to delete them, then kept only as a suppression record so that we do not email you again |
7. Who may process personal data
We share personal data only as needed for the purposes in section 4:
- Within Vencilla Medtex LLP: our textile or pharmaceutical operations, where your enquiry concerns them. Both are part of the same LLP.
- Service providers acting for us:
- Hostinger: website hosting, database, backups, and business email, including sending the website’s emails through Hostinger’s mail servers.
- Google: delivery of the website’s fonts. Your browser requests font files from Google’s servers, which receive your IP address and browser information.
- Hostinger Reach: a script that loads from Hostinger’s content network on our pages.
- Zoho (Zoho Corporation): our customer-relationship records (Zoho CRM), the online meeting booking calendar (Zoho Bookings), our team calendar (Zoho Calendar) and business-update emails to people who opted in (Zoho Campaigns), stored in Zoho’s India data centre.
- Google (Google Calendar and Google Meet): our team calendar for booked meetings, and the video link and video call for a booked meeting. When you join a Google Meet call, Google processes your participation under its own terms and privacy policy.
- Messaging services you choose: if you contact us through WhatsApp, WhatsApp (Meta) carries the conversation under its own privacy policy.
- Manufacturing partners or suppliers, where needed to answer your enquiry, for example to confirm availability or documentation. We share the relevant details of your requirement. We share your contact details only if necessary and with your agreement.
- Analytics and advertising providers, once we use them (see section 14). At present we use none. We do not share enquiry contact details with advertising platforms, for example to build matched audiences. If we decide to, we will update this policy first and ask for your consent where it is required.
- Authorities, advisers and others, where required by law or needed to protect our rights or the rights of others.
8. How long we keep personal data
General enquiries. We keep general enquiry information for 24 months after the last meaningful interaction with you about that enquiry. A general enquiry is one that has not developed into an ongoing business relationship.
Longer retention. We keep information for longer where it is needed:
- for an ongoing business relationship;
- for contractual, accounting or tax obligations;
- for actual or potential legal claims or disputes;
- where a law or regulation requires a longer period.
When it ends. When information is no longer required, we delete it securely or anonymise it where applicable and technically practicable. Our team does this by periodically reviewing our records, including our website database and business mailboxes.
Shorter retention. Some records are kept for less time. For example, our website’s email log is deleted after 30 days.
Analytics and advertising data. If we start using analytics or advertising technologies, we will choose the shortest retention period that serves the purpose, where the tool allows it, and publish cookie durations in our Cookie and Tracking Disclosure. Providers that use data for their own purposes keep it under their own policies.
9. Security
We take reasonable measures to protect personal data, including:
- encrypted (HTTPS) connections to the website;
- access-controlled hosting and business email accounts;
- authenticated, encrypted sending of the website’s emails through our mail provider;
- regular backups.
No method of transmission or storage is completely secure. If a personal data breach affects you, we will inform you and the relevant authorities as required by law.
10. Your choices and rights
You can ask us to:
- give you a summary of the personal data we hold about you and how we use it;
- correct, complete or update it;
- erase it where it is no longer needed or you withdraw your consent, unless we must keep it by law;
- withdraw any consent you have given, including consent to marketing communications or to analytics and advertising technologies;
- stop sending you marketing communications.
Once the relevant provisions of the Digital Personal Data Protection Act, 2023 apply, you may also nominate another person to exercise your rights if you die or become incapacitated.
How to ask: email support@vencilla.com with “Privacy request” in the subject line, or write to us at the address in section 12. We may ask you to confirm your identity before we act on a request.
Complaints. If you are not satisfied with our response, you may complain to the Data Protection Board of India once the relevant provisions of the Digital Personal Data Protection Act, 2023 apply. If you are outside India, you may also be able to complain to the data protection authority in your country.
11. International transfers
Our service providers, and any analytics or advertising providers we use in future, may store or process data in India or in other countries, including the United States. Zoho stores the data held in Zoho CRM, Zoho Bookings, Zoho Calendar and Zoho Campaigns in its India data centre. Google may store and process calendar and meeting data in India or in other countries, including the United States. Where data is transferred, we take reasonable steps to keep it protected, and we will follow any restrictions on transfers notified under applicable law.
12. Privacy requests and grievances
Vencilla Medtex LLP is committed to handling privacy questions, requests and grievances promptly and responsibly.
You may contact us at support@vencilla.com about the collection, use, storage or retention of personal information, or to raise a privacy-related concern. Our team handles privacy requests and grievances through this address, which is monitored 24 hours a day, 7 days a week.
We aim to acknowledge communications within 3 hours and to provide an initial response within 24 hours. Where an issue needs further investigation, we will explain the next steps and keep you informed as appropriate.
These are targets for acknowledgement and initial response. They are not a promise that every matter will be resolved within that time, and they do not reduce any rights or deadlines under applicable law. Where the law sets a requirement, that requirement applies.

13. Children
This website is intended for businesses and is not directed at children. We do not knowingly collect personal data from children. If you believe a child has sent us personal data, please contact us so that we can delete it.
14. Cookies, analytics and advertising
What is in use today. At our last check on 27 October 2026, this website did not use analytics, advertising, conversion-measurement or remarketing technologies, and set no cookies of its own for visitors. It uses only the browser storage and third-party content listed in our Cookie and Tracking Disclosure.
What we may use in future. We intend to use analytics, advertising and similar technologies to attract prospective business customers and generate enquiries. We have not yet chosen the tools. Once we use them, we may use them to:
- understand how visitors find and move through the website;
- measure website performance, visitor engagement and conversions, such as an enquiry being submitted;
- measure how well our advertising and campaigns work;
- build relevant business audiences, and show our advertising to people who have visited our website (remarketing or retargeting);
- improve our marketing campaigns and find opportunities to generate qualified business enquiries;
- understand which business content and services interest prospective customers.
Information involved. Depending on the tool, this may include:
- pages visited, and how you arrived (for example from a search engine, an advertisement or another website);
- device, browser and operating system information, and approximate location derived from your IP address;
- online identifiers, such as cookie or advertising identifiers;
- your interactions with our advertisements;
- conversion events, such as an enquiry form being submitted. We do not intend to send the content of your enquiry to analytics or advertising providers.
Providers. Analytics and advertising providers may receive this information directly from your browser through their cookies, scripts or similar technologies. Some may process it on our behalf. Some may also use it for their own purposes under their own privacy policies, for example to measure and deliver advertising across their networks. They may process it outside India (see section 11).
Before we start. Before we use any of these technologies, we will:
- name each provider, and list the cookies and similar technologies it uses, with their purpose and duration, in our Cookie and Tracking Disclosure;
- where consent is required, ask for it first, with an equally clear option to refuse and separate choices for analytics and for advertising;
- not load non-essential cookies or similar technologies until you have consented, where consent is required.
Your choices. You will be able to change or withdraw your choices at any time through a link available on every page. Withdrawing consent does not affect use that has already taken place with your consent. You can also block or delete cookies in your browser settings, and use the advertising controls offered by advertising providers.
15. Changes to this policy
We may update this policy when our website, services or legal obligations change. The current version will always be published on this page, with the date it was last updated shown at the top as “Updated on”. If a change materially affects how we use personal data you have already given us, we will take reasonable steps to tell you.
